What the enquiry form collects

We collect the name, email address, organisation (if supplied), topic and message you submit, together with a record of your agreement to enquiry contact. We use these details to respond and manage the conversation. The form does not subscribe you to marketing.

Storage and delivery

Enquiries are saved as private website records accessible to administrators and emailed to events@chocparty.com, info@chocboy.com and chocboy12@gmail.com. Hosting and email providers process the information to operate those services. Private website enquiry records are scheduled for deletion after 90 days; email correspondence and backups may remain under the organiser’s operational retention arrangements.

2026 applications and uploaded portfolios

Registration forms collect your contact details, the answers relevant to your chosen activity, your agreement to its terms, and any portfolio link or file you provide. We use these to assess applications, allocate roles and communicate event arrangements. Applications are private website records. Review copies are held in Google Sheets; uploaded files are stored privately in the organiser’s Google Drive. Access is limited to the organiser and assigned reviewers. Google and the website hosting provider process this information to provide those services. Applications are retained for event administration and follow-up, with deletion requests handled by the organiser subject to any applicable recordkeeping needs. Applying does not subscribe you to unrelated marketing.

Security and cookies

The website uses WordPress and session/security features. The vendor shop uses cookies needed for selections and checkout. Enquiry abuse prevention temporarily stores a one-way keyed representation of the connection IP address, rather than the plain address, for up to one hour. Hosting security logs may also record connection information.

Your choices

You may email us instead of using the form, ask about the information we hold, request a correction or deletion, or withdraw permission for further enquiry contact. Some transaction or legal records may need to be retained. Do not send payment credentials or identity documents through the enquiry form.

Vendor bookings and external services

Vendor applications and payments are covered by the vendor privacy notice. WhatsApp, social platforms, external photo galleries and any future ticket provider apply their own privacy information when you visit them. Downloading a sponsorship PDF does not submit an enquiry.
